Send As Shared Mailbox

Overview

Users of a shared mailbox may want to send a message as if it was coming from the shared account, rather than their personal account.

Solution

To send messages as if it came from the shared account:

  1. Open Outlook.
  2. Open a new Mail Message
  3. Under Options, ensure that From is selected.  How it will appear will vary depending on what client version you are running or using OWA.
  4. If it is selected, you should see a From field above the To and Cc fields.
  5. Click on the From button, you may already see a list of accounts but if it's not showing the account you wish to use, select Other email address....
  6. In the Outlook client, you should get a pop-up window Send From Other Email Address.  In the From field, enter the full email address you wish to use. Some shared accounts use a distribution list "*-mbox*" to manage access and that may show up in place of the account you wish to use so it is important to clearly specify the account.
    In Outlook Web, you can just start typing the full email address in the From field.
  7. You can then proceed to type up and send the email as you would normally.
