What budget computer equipment comes from

Summary

All computer equipment purchases require a capital budget. Depending on the request either IT or department's capital budget will be used.

Overview

IT is responsible for purchasing and deploying all new equipment. 

All purchases for computer equipment need to go through IT and must follow IT standards. 

However, depending on the request, the cost of the equipment will come from either IT or department's capital budget. 

NOTE: 

  • Purchasing computer equipment requires capital budget. Operational budget cannot be used to purchase computers, laptops or tablets.  
  • Please refer to Langara Policy C3004 – Capital Acquisitions and Dispositions for more information on capital budget.

 Following scenarios will demonstrate which budget will be used:

Upgrade old computer, laptop or monitor

  • IT will upgrade all Langara desktops, laptops and monitors after the equipment is over 4 years old. In the past, we refer to this as the Evergreen process.
  • IT will purchase all upgrades from IT capital budget.

Upgrade old computer, laptop, monitor with a different type of equipment  (i.e. upgrade old computer with laptop)

  • The cost of replacing a desktop with a laptop will need to come from the requesting department's capital budget.
  • The cost of replacing an old laptop with a desktop will come from the IT capital budget.

Request a new desktop computer for new employee

  • Every full-time employee should have access to a desktop computer. For new employees, IT will purchase a standad configuration desktop from the IT capital budget. 
  • Part-time employees might need to share a desktop. Submit a request to IT to determine which budget the funds will come from, either the IT or the requesting department's capital budget.  

Request a new laptop for and employee

  • IT will provide a laptop to a faculty member if they do not have a permanent office that they can use.
  • Otherwise, all new laptops need to come from the requesting department's capital budget. 

Request for both a new desktop and a new laptop for an employee

  • IT will provide a desktop to all full-time employees. The funds will come from the IT capital budget.
  • Net new laptops will need to come from the requesting department’s capital budget.

Request a desktop for an office without a computer

  • IT will provide at least one desktop computer in every office. The funds will come from IT budget. 

Request desktop for an office that already has a computer

  • IT will provide one desktop for each full time employee. The funds will come from IT capital budget.
  • Part time employees might need to share a desktop.  Submit a request to IT to determine which budget the funds will come from, either IT or department's capital budget. 

Request a new desktop or laptop for departmental use

  • Purchase of new desktops or laptops for departmental needs will need to come from the requesting department's capital budget.

Request new tablet (i.e. iPad)

  • Purchase of new tablet will need to come from the requesting department's capital budget.

 Request new local office printer

  • Faculty:
    • IT will purchase local printer from the IT capital budget.
    • Departments will continue to purchase toner supplies and pay for repairs through their departmental funds.
  • Administrative Staff:
    • The purchase will need to come from the requesting department's capital budget.

Purchase of mice, keyboards or USB flash drives or other peripherals 

  • Miscellaneous purchases of keyboards, mice or USB flash drive need to come from department's budget. Due to the low cost of these devices, an operational budget can be used.

Submit a request for iPad to IT. All requests will be assessed on a case by case basis before new iPad can be issued.
